Job Opportunity – Administration Coordinator

Northcote Business Association is seeking to engage a part time enthusiastic and experienced Administration Coordinator who can assist our Board in coordinating and taking ownership of a range of administrative, governance, membership, advocacy, and business development activities that benefit our members and keep our incorporated business association compliant. 

The Administration Coordinator will report to the Northcote Business Association board.

Who are the Northcote Business Association?

The Northcote Business Association (NBA) was incorporated in 1999 and has been representing businesses in Northcote for 20+ years. They are based in Northcote, Victoria which is situated in the Local Government Area (LGA) of Darebin. Northcote Business Association represents over 200 commercial businesses located in the Northcote Activity Centre and the centre is identified as a Major Activity Centre within the context of Melbourne 3020. 

The businesses that are represented by the association’s volunteer-led committee are local businesses fronting onto High Street and that operate from commercial property. The zone begins at James St to the South and Elm St/Robbs Parade to the North; however, the precinct closely associates Westgarth to the south and Thornbury to the North.

Northcote Rise is on a mission to attract people from far and wide and encourage them to spend a day exploring Northcote’s High Street. To achieve this, the association has determined a set of common goals that not only reflect the strategic directions of the City of Darebin, but also benefit association members and the wider community through the nurturing of a prosperous, liveable, and flourishing Northcote.

 

Days: 8 hours per week.
Duration: Initial 3-month rolling contract
Hourly Rate: $40-$45 p/hr depending on experience, plus 11.5% superannuation. ABN required.
Location: Remote/Working from home, with face to face meetings required in Northcote.
Commencement: Week commencing 8 April, 2024

 

Key responsibilities:

  • Coordinate and assist the association in championing governance including Special Rate renewals and remaining compliant with Council reporting obligations, Consumer Affairs Victoria (CAV) reporting and regulations, in alignment with the Rules of the Association and funding agreements. 
  • Coordinate and field all membership, business and general enquiries for the association, with advice from the Executive Committee. 
  • Manage the trader database in liaison with the Marketing Manager, and be one of the familiar faces of the association and network, communicating and conducting regular in-person engagement with Northcote Rise Traders. 
  • Conceptualise and coordinate Northcote Rise events in collaboration with the Marketing Manager, and contracted event producers. 
  • Manage budgets for activities including suppliers and subcontractors, in collaboration with Marketing Manager and Executive Committee
  • Basic bookkeeping and ongoing liaison with Treasurer, accountant, and auditor. 
  • Coordinate quarterly reporting to the Darebin City Council. 
  • Provide administrative support to the Board of the Northcote Business Association, including attending and co-ordinating monthly meetings and annual general meetings. 
  • In collaboration with the Marketing Manager, seek additional funds, in kind services and products through sponsorship, government grants and other means, to contribute to the budget and activities of Northcote Business Association. 
  • Any other administrative tasks requested by the Executive Committee.

Key upcoming projects:

  • Educate the Northcote Rise businesses about the role of the Northcote Business Association
  • Assist in the creation of the Northcote Business Association 5 year Business Plan in collaboration with the Board and Marketing Manager. 
  • Collaborate with Marketing Manager to continue to raise the profile of Northcote Rise businesses and increase both online engagement and foot traffic. 

Relevant Qualifications, Skills & Experience:

  • Advanced administration skills, including experience with Microsoft Office suite, Google Drive, Google Workspace and Xero. 
  • Experience working with local councils and state government stakeholders. 
  • Professional and well-developed verbal and written communication skills. 
  • Exceptional time management and organisational skills with the ability to prioritise tasks effectively. 
  • Self-motivated and able to work independently.
  • Events experience a bonus. 
  • Previous experience with local shopping strips highly desirable.

Remuneration:

The successful application will be paid on a monthly basis upon receipt of a valid invoice with ABN listed. Tax, GST and Superannuation will be managed by the Northcote Business Association.
